We are looking for a skilled individual to perform a variety of accounting, bookkeeping and financial tasks.

Job Summary

The Billing Specialist will be responsible for processing and billing invoices, auditing paperwork and will also have a full understanding of accounts payable, collections, aging reports and all general accounting functions. Will need to gain a comprehensive understanding of dispatch software, reporting tools, indexing programs and be able to process accurate invoices. *The ideal candidate should have bookkeeping background in the LTL trucking/freight industry.

Essential Functions

  • Assist customers via phone, email and fax with inquiries including but not limited to backup documentation, tracing shipments, rate quotes, tariff discrepancies and billing and/or invoicing questions
  • Communicate directly with customers regarding billing concerns and requirements
  • Audit dispatch data and customer paperwork
  • Maintain personal invoicing queues while adhering to company deadlines
  • Identify potential errors made on invoices
  • Process and bill invoices out of company software pursuant to applicable tariffs and pricing agreements
  • Successfully carry out invoicing procedures via mail and electronic delivery
  • Daily enter key data of financial transactions
  • Keep financial records updated
  • Assist with the preparation of financial statements
  • Post journal entries for accrued expenses and revenue
  • Ensure daily accounting functions run accurately and effectively
  • Prepare bank deposits, general ledger postings and statements
  • Reconcile accounts in a timely manner
  • Complete company reporting and auditing on an as needed basis
  • Collaborate with management on special assignments as requested
  • Support team by acting as back up during a team member absence
  • Perform general clerical duties as assigned, including but not limited to answering and directing phone calls, filing and data entry
  • Manage invoice priorities and workload responsibilities
  • Available to work a variety of hours, including days, evenings, and nights
  • Prompt, daily attendance
  • Perform other duties as assigned

Requirements, Knowledge, Skills and Abilities

  • Minimum 2 years accounting experience required; minimum 1 year in LTL/Freight industry
  • Proficient with QuickBooks and Microsoft Office Suite (Excel, Word and Outlook)
  • Detail oriented, accurate and possesses analytical capabilities
  • Effective at demonstrating good judgment and initiative to make sound business decisions based on multiple data sources
  • Self-motivated and focused
  • Time management, organizational and multi-tasking skills
  • Excellent written and verbal communication skills
  • Ability to communicate and establish credibility
  • Ability to work independently and in a team environment
  • Hard working, reliable and personable
  • Strong computer, typing and 10-key skills
  • High school diploma required
